What makes an invoice a tax invoice

A receipt records that money changed hands. A tax invoice is a legal document, and it is the only thing your buyer can claim input tax credit against. If it is missing required particulars, your customer loses the credit — which makes it your problem, not theirs.

Under rule 46 of the CGST Rules, a tax invoice must carry:

  • Your name, address and GSTIN
  • A serial number, unique within the financial year, up to sixteen characters
  • Date of issue
  • Recipient's name, address and GSTIN where they are registered
  • HSN code for goods or SAC code for services
  • Description, quantity and unit
  • Taxable value, after any discount shown on the invoice
  • Rate and amount of tax, with CGST and SGST shown separately, or IGST as a single line
  • Place of supply, which matters most for inter-state transactions
  • Signature or digital signature of the supplier

The generator above produces all of these. What it cannot do is know your business — check the GSTIN and the HSN or SAC codes yourself before sending.

Which tax heads apply

This is the part most invoice templates get wrong, and it is decided by place of supply rather than by where you happen to be sitting.

The tool compares the state you select against the customer's and switches heads automatically. Both dropdowns carry the official GST state codes — the same two digits that begin every GSTIN, which is a quick way to check you have picked the right one.

Invoice numbering, done properly

The series must be consecutive and unique for the financial year. Gaps and duplicates both cause problems at filing, and a duplicate number is one of the faster ways to attract a query.

If you raise invoices from more than one location or under more than one series, keep the prefixes distinct — INV- and EXP- for domestic and export, for instance — and never reuse a number even for a cancelled invoice. Cancel it with a credit note instead.

Discounts and the taxable value

GST is charged on the transaction value, so a discount recorded on the invoice reduces the value the tax is calculated on. The order is discount first, tax second.

A discount agreed after the supply is different — it needs a credit note referencing the original invoice, and the buyer has to reverse the matching input tax credit. The Discount + GST Calculator covers that case.

Rounding and the amount in words

The tool rounds the invoice total to the nearest rupee and shows the round-off as its own line, which is standard practice and keeps your books tidy. The amount in words uses Indian numbering — lakh and crore, not million — because that is what a bank and an auditor expect to read.

Where your data goes

Nowhere. The invoice is assembled in your browser and printed from there. There is no account, no server-side storage, and no saved history — close the tab and it is gone. That also means the tool cannot remember your details between invoices, which is the trade-off for not holding your customer data.

What this tool is not

It generates a compliant document. It does not:

  • File your returns or push anything to the GST portal
  • Generate an e-invoice IRN or QR code — mandatory above the notified turnover threshold
  • Produce an e-way bill for goods movement above ₹50,000
  • Handle reverse charge, composition scheme or TCS scenarios
  • Keep a ledger, track payments or age your receivables

If your turnover has crossed the e-invoicing threshold, you need software registered with the Invoice Registration Portal. This tool is for businesses below that line, and for one-off invoices.

Frequently asked questions

Is this GST invoice format valid in India?

It includes the particulars required under rule 46 of the CGST Rules — GSTIN, serial number, date, HSN or SAC, taxable value, tax heads shown separately, and place of supply. Verify your own GSTIN and codes before issuing.

When do I charge IGST instead of CGST and SGST?

When the place of supply is a different state from yours. Select the customer's state and the tool switches heads automatically.

Do I need HSN or SAC codes on every invoice?

HSN reporting requirements depend on turnover, but including the code is good practice on every invoice and avoids questions later.

Can I save the invoice as a PDF?

Yes. Use the print button and choose Save as PDF in the print dialog. The print stylesheet hides everything except the invoice itself.

Does this create an e-invoice with an IRN?

No. E-invoicing requires software registered with the Invoice Registration Portal. This tool produces a standard tax invoice, which is what businesses below the e-invoicing threshold need.

Is my customer data stored anywhere?

No. Everything stays in your browser and is cleared when you close the tab. Nothing is transmitted.
